PURPOSE
On Windows laptops, it is possible to save any number of Xerox printer settings into a Preset, making it easy to switch between commonly used groups of printer settings. For example, if you often need double-sided, stapled packets with a 3-hole punch, you can save those settings as a Preset to easily set those settings with a single click. This document will walk through the details on how to set up and use Xerox Presets.
SET UP
Step 1
In the search bar on the left side of the taskbar, search for Printers & Scanners.
Step 2
In Printers & Scanners, click on the printer for which you want to create a Preset, then click Manage.
Step 3
On the left side, click Printing Preferences.
Step 4
In the Printing Preferences dialog box, update the settings however you want. There are many options here on multiple different tabs, so go through carefully until you are satisfied.
Step 5
Once
the settings are set, click the save button at the bottom of the window. You
will have two options, Save as 1-Touch, or Save as New Preset.
Both will save the settings; the difference is how you select the Preset when
you go to print a document. We will go into further detail later in this
document, but I recommend choosing the 1-Touch option. In either case, you must
give the Preset a name. Try to be as descriptive as possible to make it easier
for you to select the right Preset when you go to print.
That's all for set up, your settings have been saved. Now we will go over how to select the Preset when you go to print a document.
CHOOSING A PRESET
Step 1
When you go to print a document, you will likely not see any place to choose your Preset right away. That's because it is a Xerox Preset that's been saved via Windows printing preferences, so the application you are printing from (e.g., Word, Firefox, Edge, Adobe) doesn't know about it. Only your laptop knows about it. So, when you get to the print dialog box, you will need to switch over to the Windows print dialog window. Here's how to do this in a few of the most common applications:
WORD- Click Printer Properties underneath the printer selection drop-down.
FIREFOX and EDGE - Click Print using the system dialog at the very bottom. Then click Preferences in the new window that pops up.
Word Firefox/Edge Adobe
Step 2
Now
that you've opened the Xerox printer properties, the way you select your Preset
will depend on how you saved it.
If you saved it as a 1-Touch, there will be a tile with the Preset name in the 1-Touch tab (usually shown by default). Click the tile to update the print job settings.
If you saved it as a New Preset, switch over to the Printing Options tab. At the bottom, there is a Presets drop-down. Select your preset and then click OK to update the print job settings.
Step 3
Now click Print and the job should run with the settings defined by your Preset.
