Basics of Using Microsoft Teams

Admitting Participants into a Teams Meeting

Once you have started your Teams meeting, participants will be admitted to the waiting room. A pop-up notification will appear on your screen notifying you that people are waiting to be admitted. To admit them, you can:

1. Click 'Admit' on the pop-up notification.

2. Click on 'People' from the top navigation bar. 

Then click on the check mark next to the participants name. If there is more than one participant that needs to be submitted, then you can click on the 'Admit All' button.

Recording a Microsoft Teams

Organizers can record a Teams Meeting to share once the meeting has ended. To record a meeting, please follow these directions:
1. Click on the 3 dots above 'More' in the top menu.
2. Select 'Record and transcribe' from the drop-down menu.
Participants will receive a notification that the meeting is being recorded.
Once the Teams Meeting has ended, the recording will be available in the meeting chat within the Teams app.

Presenting in Microsoft Teams

1. Once you have started your Teams meeting and are ready to share, click on 'Share' from the top menu.

2. Select 'Screen' to share anything on your screen. 

Or select 'Windows' to pick a specific window to share (and it will only share that specific window).

3. Click on the toggle next to 'Include computer sound' if you want any videos or presentation audio effects to play through the Teams Meeting.

You will now be presenting to the participants.

Stop Presenting in Microsoft Teams

To stop sharing:

1. On the small screen showing your camera view, click on the rectangle with the 'X' in it.

2. Click on 'Stop Presenting' from the presentation menu. This menu may be hidden while you are presenting, so you may need to push your cursor all the way to the top middle of your screen to make it appear.

3. When sharing you can also give control to another person by clicking on drop-down arrow next to 'Give control' and selecting the name of the person you want to give control to. To take back control, click on 'Take back control' from the presentation menu.

Managing Presenters

1. Click on 'People' from the top navigation bar. 

2. Click on the three dots next to the name of the participant you want to make a presenter and select 'Make a Presenter'.
        
3. Click on 'Change'.
That participant will receive a notification that they have been made a presenter.

Taking Meeting Notes

Meeting Notes can be created before, during, and after a Teams Meeting. This feature will become available once at least one participant has been invited, however, it is only available for meetings with 20 or less participants. Only participants invited to the meeting prior to the notes being started will have access to them, so be sure to complete all the invites first. Anyone who signs in as a guest will not be able to access meeting notes as well. To take meeting notes, please follow these directions:

Creating Agendas or Notes Prior to and/or After a Meeting

1. Open the Microsoft Teams app.

2. Click on the 'Chat' icon.


3. Click on the 'Meeting Notes' tab.

4. Type your notes into the text field.

Taking Notes During a Teams Meeting

1. Click on the 3 dots above 'More' in the top menu and select 'Meeting notes' from the drop-down menu.

2. Click on 'Take notes'.

3. Once the 'Meeting Notes' tab opens in your Microsoft Teams app, type your notes into the text field.

Leaving a Meeting (if you are not the person who initiated the meeting)

In the upper right-hand corner of your Teams screen, you will see a red 'Leave' button.  Click this to leave the meeting.

If you organized a meeting AND made another participant a presenter, then you can leave the meeting by clicking 'Leave'.

Ending a Meeting (if you are the person who initiated the meeting)

In the upper right-hand corner of your Teams screen, you will see a red 'Leave' button. Do Not click 'Leave' or you will exit the meeting and the meeting will remain opened. Instead, please follow these directions:

1. Click the drop-down arrow next to 'Leave' and select 'End Meeting'.

2. Click 'End' to confirm ending the meeting.
The meeting is now ended.
