Using the Whiteboard in Microsoft Teams

You can share a new/existing whiteboard with all participants in a Teams meeting. That same whiteboard is available across all devices. To share a whiteboard in a Microsoft Teams meeting, please follow these instructions:

Utilizing a Whiteboard During a Teams Meeting

1. Select the Share icon and select Microsoft Whiteboard.

2. Select either Present Whiteboard. Only you can edit or Collaborate on Whiteboard. Everyone can edit and then click Present Whiteboard

After you share a whiteboard in a Microsoft Teams meeting, you can use the same Whiteboard features that are available in the Windows and web versions.

Add Text to a Whiteboard

To add text to a whiteboard, please follow these directions:
1. Click the Text icon in the toolbar.

2. Click on the canvas to add a text box. You can also choose a specific area of the canvas, press and hold (on touch devices) or right-click to open the Context menu, and then select Text.

3. Type the text you want to add to the Whiteboard.

4. Use the text tools to edit the text size, color, boldness, etc.

Edit, Copy, or Delete Existing Text

To edit, copy, or delete existing text, please follow these directions:
1. Double-click on the text in the text box or select the Edit text (pencil) button and click into the text box.

2. Select the Text color picker button (circle) to choose a new text color. The font cannot be changed.

3. Click the 3 dots for more editing options. Select Delete from the drop-down menu to delete the text.

You can also Copy, Duplicate, Edit Alt text, change position, and Lock the text from this menu.

Continue Working on a Whiteboard After a Meeting

If you share a whiteboard during a Teams meeting that is being recorded, it will not be part of the recording, however, after a Teams meeting has ended, the whiteboard will be available to all participants who are in your organization. The file can be found in the meeting chat in a tab labeled 'Whiteboard'. This allows you to continue working iteratively on a project or re-use the whiteboard in future meetings. 


Please Note: Participants from outside of your organization cannot access the whiteboard after the meeting ends.


To access your Team Meeting Chat, Files, and Whiteboard, please follow these directions:

1. Open the Microsoft Teams App. 


2. Ensure Chat is selected from the left side bar and then click on the correct Meeting or Team.


3. Click on the Whiteboard tab.


4. Open the Whiteboard and begin working on it.
